How we collect, use, and protect information for visitors, customers, and applicants across pluralcareers.com and custom careers portals.

This Privacy Policy explains how Plural collects, uses, shares, and protects information about you when you use our marketing website, our hiring software, or a careers portal that an organization runs on Plural, whether that portal is hosted at pluralcareers.com or on a custom domain that the organization has connected to Plural.

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Service.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have the meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or plural.

Definitions

For the purposes of this Privacy Policy:

  • Applicant means an individual who submits an application, expression of interest, or any related information to a Customer through a Careers Portal or other application surface provided by the Service.

  • Application means the Plural hiring software, including the applicant tracking system and admin tools that Customers use to manage hiring.

  • Careers Portal means the public job board, job posting pages, and application forms that a Customer publishes through Plural. A Careers Portal may be served on pluralcareers.com (or a Plural-managed subdomain) or on a Custom Domain that the Customer has connected to Plural.

  • Company (referred to as either “the Company”, “Plural”, “We”, “Us”, or “Our” in this Agreement) refers to Plural, a service maintained and operated by Twenty Miles West, LLC, 1300 South Blvd STE 30004, Charlotte, NC 28203.

  • Cookies are small files placed on your computer, mobile device, or other device by a website, containing details of your browsing on that site.

  • Country refers to the State of North Carolina, United States.

  • Customer means an organization that subscribes to or uses the Application to run hiring, including the Customer’s owners, administrators, recruiters, hiring managers, and other authorized team members.

  • Custom Domain means a domain name owned or controlled by a Customer (for example, careers.example.com) that the Customer has configured to serve their Careers Portal through Plural.

  • Device means any device that can access the Service such as a computer, a cellphone, or a digital tablet.

  • Personal Data is any information that relates to an identified or identifiable individual.

  • Service refers, collectively, to the Website, the Application, every Careers Portal we host (whether on pluralcareers.com or a Custom Domain), and any related features, APIs, and communications operated by Plural.

  • Service Provider means any natural or legal person who processes data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, provide the Service on behalf of the Company, perform Service-related tasks, or assist us in analyzing how the Service is used.

  • Usage Data refers to data collected automatically, generated either by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

  • Visitor means any individual who accesses the Website or a Careers Portal without creating an account or submitting an application.

  • Website refers to Plural’s marketing site, accessible from https://pluralcareers.com.

  • You means the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service. “You” includes Visitors, Customers, and Applicants.

Who This Policy Applies To

This Privacy Policy applies to three groups:

  1. Visitors who browse the Website or a public Careers Portal without applying or signing in.
  2. Customers (including their owners, admins, recruiters, and other team members) who use the Application to run hiring.
  3. Applicants who apply for jobs or otherwise share information through a Careers Portal hosted on pluralcareers.com or on a Customer’s Custom Domain.

It applies the same way regardless of which domain you use to reach the Service. A Careers Portal served on a Custom Domain is still part of the Service and is governed by this Privacy Policy. A Customer may also have its own privacy notice that describes how it uses Personal Data after receiving it from the Service; that notice operates alongside this one.

Roles in Processing Personal Data

  • For the Website and the Application, Plural is the controller of Personal Data we collect from Visitors and Customers.
  • For information that Applicants submit to a Customer through a Careers Portal (including resumes, application answers, and contact details), the Customer is the controller of that information and Plural acts as a processor / service provider that handles the data on the Customer’s behalf. Plural processes that information to operate the Service, including to deliver applications to the Customer, support the hiring workflow, prevent abuse, and meet legal obligations. Customers are responsible for their own use of Applicant data, including any decisions they make based on it.

Information We Collect

Information You Provide to Us

Depending on how you use the Service, you may provide us with:

  • Account information for Customers, such as name, email, phone number, password, organization name, role, and billing details.
  • Application content for Applicants, such as your name, email, phone number, location, resume or CV, work history, answers to application questions, links you submit (for example, portfolio or LinkedIn URLs), files you upload, and any messages you send through the Service.
  • Hiring content that Customers create or upload, such as job descriptions, hiring stages, candidate notes, evaluations, and team communications.
  • Support and communications when you email us, request a demo, fill out a form, respond to a survey, or otherwise contact us.

Information We Collect Automatically

When you use the Service, we automatically collect:

  • Usage Data, such as pages or screens viewed, time spent, clicks, referring/exit pages, and other interactions with the Service.
  • Device and connection data, such as IP address, browser type and version, operating system, device identifiers, language, and time zone.
  • Cookies and similar technologies, as described in our Cookie Policy.

For Custom Domains, we collect the same categories of automatic information when a Visitor or Applicant uses the Careers Portal hosted there. The Customer’s domain configuration does not change what we collect or how we use it.

Information from Third Parties

We may receive information about you from:

  • Identity providers and integrations that you (or your Customer) connect, such as single sign-on providers, calendar tools, email providers, payment processors, or background-check vendors.
  • Service Providers that help us operate the Service (for example, hosting, analytics, error reporting, email delivery, and customer support).
  • Public sources, such as a Customer’s website that lists job postings.

How We Use Personal Data

We use Personal Data to:

  • Provide and maintain the Service, including operating the Website, the Application, and Careers Portals on pluralcareers.com and Custom Domains.
  • Manage Customer accounts, including provisioning, billing, and access control.
  • Process applications submitted to a Customer, route them to the right hiring workflow, and let Customers communicate with Applicants.
  • Communicate with you about the Service, including transactional messages (for example, account, security, and application-status emails), support responses, and product updates.
  • Send marketing communications about Plural to Visitors and Customers who have opted in or as otherwise permitted by law. You can opt out at any time using the unsubscribe link in our emails or by contacting us.
  • Improve the Service, including analyzing usage trends, debugging, measuring marketing effectiveness, and developing new features.
  • Protect the Service and users, including detecting, preventing, and responding to fraud, abuse, security incidents, and violations of our Terms of Service.
  • Comply with legal obligations and enforce our agreements.

We do not sell Personal Data. We do not use Applicant Personal Data to train AI or machine-learning models for unrelated purposes; any AI-assisted features that operate on Applicant data are used solely to provide the Service to the Customer that received the application.

How We Share Personal Data

We share Personal Data:

  • With the Customer that received an application. Information you submit through a Careers Portal is shared with the Customer that posted the job. The Customer’s owners, recruiters, hiring managers, and other authorized team members can view, evaluate, and act on your application.
  • With Service Providers that perform services on our behalf, such as cloud hosting, file storage, email delivery, analytics, error monitoring, payment processing, and customer support. These providers are bound by contractual obligations that limit their use of Personal Data to what is necessary to provide their services.
  • With other users you choose to interact with, such as Customer team members you message through the Service.
  • For legal reasons, such as to comply with applicable law, lawful requests by public authorities, or court orders; to enforce our agreements; or to protect the rights, property, or safety of Plural, our users, or others.
  • In connection with a corporate transaction, such as a merger, acquisition, financing, reorganization, dissolution, or sale of all or part of our business or assets, in which Personal Data may be transferred subject to standard confidentiality protections.
  • With your consent or at your direction.

Cookies and Tracking Technologies

The Website, the Application, and Careers Portals (including those served on Custom Domains) use cookies and similar technologies. For details on what we use and how to manage your preferences, see our Cookie Policy.

Data Retention

We retain Personal Data for as long as is necessary to:

  • Provide the Service to Customers and Applicants.
  • Comply with legal, accounting, or reporting obligations.
  • Resolve disputes and enforce our agreements.

When a Customer’s account ends, we delete or de-identify Personal Data associated with that account in accordance with our retention practices, except where we are required or permitted to retain it (for example, for legal, regulatory, fraud-prevention, or backup-recovery purposes). Applicants can ask the Customer that received their application about that Customer’s retention decisions; Plural will support reasonable Customer instructions to delete Applicant data, subject to law.

Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect Personal Data. No method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

International Transfers

Plural is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States or in any other country where we or our Service Providers operate. By using the Service, you agree to that transfer, subject to applicable law.

Your Rights and Choices

Depending on where you live, you may have rights regarding your Personal Data, such as the right to access, correct, delete, restrict, or object to our processing, and the right to data portability. You can exercise these rights by contacting us using the details in the “Contact Us” section below. We will respond as required by law.

If your Personal Data was submitted to a Customer through a Careers Portal, we may direct your request to that Customer (the controller of that data) or work with them to fulfill it.

You can also:

  • Manage marketing emails by clicking “unsubscribe” in any marketing email we send.
  • Manage cookies as described in our Cookie Policy.
  • Update your account information in the Application.

We will not discriminate against you for exercising your rights.

Children’s Privacy

The Service is not directed to children under the age of 13, and we do not knowingly collect Personal Data from children under 13. If you believe a child under 13 has provided us with Personal Data, please contact us and we will take appropriate steps to delete it.

Links to Other Websites

The Service may contain links to third-party websites that are not operated by Plural. If you click a third-party link, you will be directed to that third party’s site. We are not responsible for the privacy practices of third-party sites, and we encourage you to read their privacy policies.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date above. If the changes are material, we will provide additional notice (for example, by email or through the Application). Your continued use of the Service after the updated Privacy Policy takes effect means you accept the changes.
