Managing career settings

Publish the role, set résumé rules, notify your team, email candidates, and set interview and review tools.

Use Settings when the listing already exists and you need to change how the live role works. Settings does not change the title, pay, or offices. To change those, see Update an existing career.

Settings has seven sections: Publish, Résumés, Notifications, Candidate Emails, Interview Schedule, Review Assistant, and Review matrix.

Before you start

  • You must be signed in.
  • These plans include this feature: Hire, Hire + Retain, and Enterprise.
  • These roles can change career settings: Owner, Administrator, Hiring Manager, and Office Administrator.
  • If you are a Hiring Manager, you can change settings on a Career when you are the hiring manager for that Career.
  • If you are an Office Administrator, you can change settings when the Career includes an office that you administer.

Open Settings

  1. Open Hire, then open Careers.
  2. Select the Career title.
  3. Select Settings. Publish opens first.

Then select a section in the settings list.

  • Publish — show the listing, accept applications, and copy the public URL.
  • Résumés — require a résumé, show previews, and choose allowed file types.
  • Notifications — alert your hiring team. This does not email candidates.
  • Candidate Emails — emails that applicants receive for this role.
  • Interview Schedule — hiring manager, shared booking options, and stages.
  • Review Assistant — AI résumé review for this role.
  • Review Matrix — criteria and weights that interviewers score.

Publish

Use Publish to make the role visible on your public careers site, pause or reopen applications, or get the link to share the listing.

The public careers site must be live. If it is not, publish the Careers Page.

  1. Open Settings, then Publish.
  2. Turn on Show on public careers site if the role must appear on the public site. Turn it off to hide the posting. Hidden roles also close applications automatically — turn on Open for applications again after you make the role visible.
  3. Turn on Open for applications if candidates can apply. Turn it off to pause applications and keep the posting visible. This switch is off when the role is hidden.

Share the listing

  1. In Share your career listing, select Copy link.
  2. Select Open public posting to check the listing.

In Public posting URL, change URL slug if you want a different path. Select Save URL.

If Publish to LinkedIn is on the page, select it to share the posting on LinkedIn. The role must be shown on the public careers site. For more share steps, see Sharing careers.

Résumés

Use Résumés to control whether applicants must upload a résumé for this role, which file formats you accept, and whether your team can preview résumés in the app. These rules apply when a candidate applies on the public site and when your team creates an application.

Organization settings are the default for every Career. You can override file types and the preview setting on this role. If your organization requires a résumé for every applicant, you cannot turn that off here — change it in organization settings instead.

A résumé file can be up to 10 MB. You must select at least one file type. All file types accepts any format and replaces the other types. You can allow PDF, Microsoft DOC, Microsoft DOCX, TXT, Microsoft XLS, Microsoft XLSX, Microsoft PPT, and Microsoft PPTX.

Set the organization default

  1. In the sidebar, select Settings.
  2. Under Organization settings, select Résumés.
  3. Turn on Require résumés for every applicant if every Career must require a résumé. Turn it off if each Career can decide.
  4. Turn on Show résumé previews if hiring staff can preview a résumé in the app. Turn it off if they can only download it.
  5. In Allowed file types, select the types applicants can upload.
  6. Select Save.

These roles can change organization résumé settings: Owner, Administrator, Hiring Manager, and Office Administrator. An Auditor can open the page but cannot save.

Set rules for this role

  1. Open Settings, then Résumés.
  2. Turn on Require a résumé to be provided by candidates if applicants must upload a résumé for this Career. This switch is locked when the organization requires a résumé for every applicant. The page then shows: This setting is on for every career. You cannot turn it off here.
  3. Turn on Show résumé previews if hiring staff can preview a résumé for this Career. Turn it off if they can only download it.
  4. In Allowed file types, select the types for this Career.
  5. Select Save.

Select Edit organization résumé settings if you need to change the default for every Career.

Notifications

Use Notifications to alert your hiring team when activity happens on this role. Quick alerts help your team respond to new applicants faster. Alerts go to Slack, Microsoft Teams, Google Chat, or email. These are internal alerts only — they do not go to candidates. For candidate emails, see Candidate Emails.

  1. Open Settings, then Notifications.
  2. Under Enable notifications, turn on Internal hiring notifications. Turn this off to stop all internal alerts for the role.
  3. Turn on each channel that the team uses. Connect Slack, Microsoft Teams, or Google Chat if the organization is not connected yet.
  4. For a chat channel, choose a destination, such as a channel or a direct message to the hiring manager.
  5. For email, choose who receives the alert: the hiring manager, office managers, both, or nobody.

Candidate Emails

Use Candidate Emails to set the automatic messages applicants receive at each stage of this role. These emails keep candidates informed without manual work from your team. Empty subject and body fields use the organization template, or the built-in default when the organization has none.

These emails are not the same as Notifications.

  1. Open Settings, then Candidate Emails.
  2. Turn on each email that applicants must receive. Turn off an email that they must not receive.
  3. Edit the subject and body if this role needs different copy. Insert a token if you want a name or other field from the application.
  4. Select Preview if you want to read the message before you save.
  5. Save the template.

Select Edit organization templates if the same copy must apply to other roles.

To send messages after a wait, or after a status change, use Automations.

Interview Schedule

Use Interview Schedule to set who manages this role, how candidates schedule their interviews, and which interview rounds they go through.

  1. Open Settings, then Interview Schedule.
  2. In Hiring manager, select the person who owns the role, or select No hiring manager. You can also set this from Update an existing career.
  3. In Shared settings, turn on Auto-send scheduling links for interview stages to have Plural automatically send candidates a booking link when they move to Interviewing, and again after each stage is complete. This removes the need to send scheduling links manually.

Review Assistant

Use Review Assistant when you want AI to screen and score résumés for this role. This helps your team focus on the strongest candidates first. These plans include Review Assistant: Hire, Hire + Retain, and Enterprise. If your organization does not have it, the page asks you to upgrade.

  1. Open Settings, then Review Assistant.
  2. Read AI features acknowledgment.
  3. The first time you turn it on, select the agreement checkbox.
  4. Turn on Enable Review Assistant.
  5. In Guidance for the review assistant, describe must-have skills, deal-breakers, and how your team evaluates candidates. Select Save guidance.

Turn Enable Review Assistant off if this role must not use AI résumé review.

Review Matrix

Use Review matrix when you want all interviewers to score candidates on the same criteria. Consistent criteria make it easier to compare candidates fairly. You can use the organization default, or set criteria for this role only.

  1. Open Settings, then Review matrix.
  2. Select Edit organization default matrix if you want to change the default that other roles inherit.
  3. Turn on Use organization default if this role must use the organization criteria. Turn it off to set criteria for this role only.
  4. When the role does not use the default, turn on Enabled, then add criteria. Set a title, weight, and score range for each item. Save.

If Use organization default is on, the page lists the organization criteria. Change those on the organization default, not on this role.
