How to manage office managers

Invite an employee to the platform, then assign them as an Office Administrator for an office.

An office manager administers an office. When you add an office manager, that person receives the Office Administrator role.

Office Administrators can create Careers for offices they administer. They can also update those offices.

Do this work in two parts. First invite the person to the platform. Then add them as an office manager.

Before you start

  • You must be signed in.
  • These roles can manage office managers: owner, administrator, and Office Administrator.
  • If you are an Office Administrator, you can manage managers only for an office that you administer.
  • The person must be an active employee. Inactive and terminated people cannot be office managers.
  • The person must have a linked user account. If they do not, invite them to the platform first. They must accept the invitation before you can add them.
  • If no linked employees are available, the dialog shows: No linked employees are available to add.
  • If you try to add a person without a linked user, the system shows: Office managers must have a linked user account.
  • If the person is not active, the system shows: Only active people can be office managers.

Platform invitation

Skip these steps if the employee already has a linked user.

  1. Open People & Places, then open Employees.

  2. Select Open menu for that row.
  3. Select Invite to platform.

  1. In Select role…, select a role for sign-in. Use Employee unless you need a different role. This dialog does not assign the Office Administrator role.
  2. Select Send invitation.

They receive an invitation. They must accept it. After they accept, they have a linked user.

You can also invite when you add the person. On Employees, select Add Person. The dialog title is Add employee. Turn on Also invite to the platform. In Platform role, select a role. Then select Save. Keep Status as Active.

View Offices

  1. Open People & Places, then open Offices.
  2. Find the office. This example uses Raleigh Office.
  3. Select Open menu for that row. On the office page, select Actions.
  4. Select Manage office managers.

The Current managers list shows people who already administer the office. If the list is empty, you see: No office managers assigned yet.

To remove a manager, select Remove next to that person. A success message shows: Office manager removed.

If that person does not administer any other office, they lose the Office Administrator role.

Add managers

  1. In Add managers, select Search people….
  2. Select each employee you want to add. You can select more than one person.
  3. Select Add managers.
  4. Select Done.

If no linked employees are available, you see: No linked employees are available to add. Select Add a person to open Employees.

The search list includes only active employees who have a linked user and who are not already a manager of this office.

After you finish

The person appears under Current managers. A success message confirms how many managers you added.

The Office managers column on Offices also shows those people.

The person now has the Office Administrator role. They administer the offices you assigned.
